Privacy Policy

This Privacy Policy explains how Gromadzki Real Estate (“Gromadzki Office,” “we,” “us”) collects, uses, and protects information when you use our customer relationship management platform, including our website and mobile applications (the “Service”). The Service is a business tool for licensed real estate brokerages and their authorized team members.
1. Information we collect
Account information. Name, email address, phone number, role, and authentication credentials (passwords are stored only as a one-way hash).
Brokerage data you provide. Information you enter or import to run your business — contacts and leads (names, emails, phone numbers, addresses, notes), agent and recruiting records, transactions, calendar events, messages, and uploaded documents. For onboarded agents this may include license details and, where you choose to store it, tax identification numbers, which are encrypted at rest.
Public-records and listing data. We incorporate data from third-party and government sources, such as MLS/IDX property listings and Florida DBPR license status, to support search, matching, and compliance features.
Usage and device information. Log data, IP address, device and browser type, and interactions with the Service, used for security and to operate the product.
Cookies and local storage. Used to keep you signed in and to remember preferences. The Service is not usable without an authenticated session.
2. How we use information
We use information to provide, secure, and improve the Service; authenticate users; deliver features you request (including notifications and messages you initiate to your own contacts); provide support; and comply with legal obligations. We do not use the brokerage data you store to build advertising profiles.
3. How information is shared
We share information only as needed to operate the Service:
Service providers that host and power the platform under contract — for example cloud hosting and database (Supabase, Vercel), email delivery (SendGrid), and SMS delivery (Twilio) — process data on our behalf.
Data sources such as MLS/IDX providers, subject to their display and attribution rules.
Legal and safety. We may disclose information if required by law or to protect rights, safety, and the integrity of the Service.
Business transfers. Information may be transferred as part of a merger, acquisition, or sale of assets.
We do not sell your personal information.
4. Data security
We use industry-standard safeguards, including encryption in transit, hashed passwords, encryption of designated sensitive fields (such as tax identification numbers), and role-based access controls that limit each user to the data their role permits. No method of transmission or storage is completely secure.
5. Data retention
We retain information for as long as your account is active or as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. Brokerage administrators can delete records within the Service.
6. Your choices and rights
Depending on your location, you may have rights to access, correct, or delete personal information, or to object to certain processing. Because most data is controlled by the brokerage that operates the account, please direct requests to your brokerage administrator, or contact us and we will assist. You can reset your password at any time and sign out to end a session.
7. Children
The Service is intended for business use by adults (18+) and is not directed to children. We do not knowingly collect information from children.
8. Changes to this policy
We may update this Policy from time to time. Material changes will be reflected by an updated effective date, and where appropriate we will provide additional notice.
